iPaaS.com MCP: Guide - Business Reports

Ask the iPaaS.com MCP server for sales, inventory, stuck-order and gift card liability reports, understand what each can and can't tell you, and use a field map to fill the gaps (beta).

Before you start to use our MCP, please review the following items:

  • Ensure you have completed the iPaaS.com platform training before using this to best understand what is going on. If you need to gain access to it reach out to partnerships@ipaas.com.

  • With great power comes great responsibility - the MCP can do things like trigger a sync for your entire catalog and modify (or remove) data from your account. Ensure you understand what you want it to do before you work with it. iPaaS.com is not responsible for restoring any data or configuration changes made using the MCP.

  • Measure twice, cut once: When working with this, planning ahead of time (or asking the MCP to plan for you) will greatly benefit your work.

  • Remember that this is in beta so some features may be added, removed or altered as we continue our development. The latest change log notes can be found here.

  • If you have any issues or need to report a bug please reach out to us at mcp@ipaas.com.

The MCP can answer business questions in plain language, without anyone writing a query or building a report: how did we do, is our stock healthy, which orders are stuck, and how much gift card liability do we have. This guide explains what each report counts, what it can't tell you, and how a field map fills in values iPaaS.com doesn't have a native field for yet. This is just the beginning of the types of business questions you will be able to ask it - more to come.

Before you begin

  • Connect with the business tools. Use https://mcp.ipaas.com/mcp/business?audience=business. The /business part gives you the four reports and the field map tools. The ?audience=business part makes results read in plain language. See Choosing Your Tools.

  • Give your key View permission for the data each report reads (see Getting Started):

    • Sales: Transaction and Lookup

    • Inventory: Product, Product Variant, Product Inventory, Product Variant Inventory and Location

    • Stuck orders: Error, Integration Monitoring Error Logs, Transaction, Subscription and External Id

    • Gift cards: Gift Card

    • Field maps: Subscription and Custom Field. Saving or clearing a map also needs the permission to change it.

  • The reports are read-only. None of the four can change your data. The field map tools are the only part of this guide that change anything, and they show a preview first.

    • Note that you can use other tools to act on the data in the same chat session if you have a larger scope.

How to read a report

Every report follows the same shape:

  1. A one-sentence summary of the answer.

  2. The figures behind it.

  3. The data limits: what the numbers can't support. Read these before you quote a figure.

NOTE: These reports show iPaaS.com's data as it is now. They aren't an accounting ledger, and they don't show how anything looked in the past. If you are reconciling against another system, expect differences, and ask the assistant to explain each report's limits.

Sales performance

Ask: "How did we do last month?" or "Show me sales for the last 30 days, split by week."

What you get

  • Orders, revenue, average order value, units and discounts.

  • A split by the connected system the order came from.

  • A trend by day, week or month. The default is weekly.

  • Optionally, the mix of order statuses, top customers and top products. Ask for "details".

What counts as an order

An order is a transaction of type Order whose status isn't Cancelled. Quotes, invoices, returns and shipments are not counted and don't change revenue. Each result says so. This is why the figures won't match a report that includes those, and why cancelled orders don't inflate revenue.

Things to know

  • The period defaults to the last 30 days, using the date the order mapped on the to the iPaaS.com transaction. You can give a start and end date.

  • Details are capped. Top customers and top products read each order individually, for up to 100 orders (50 by default), starting with the most recent. The result tells you whether it is complete. The headline totals always cover the whole period.

  • Long periods can be incomplete. The platform can't filter transactions by date yet, so the report reads every page and filters here. Very old orders beyond the page limit aren't counted, and the result says so when that happens.

  • Currency. Transactions have no native currency field. Amounts are added up in whatever currency each order carries. If you sell in more than one currency, map a currency field (see "Field maps" below) before relying on the totals.

Inventory health

Ask: "Is our stock healthy?", "What's out of stock?" or "Check inventory at the downtown store."

What it looks for

  • Out of stock and low stock. Low means sellable quantity at or below 5 by default. You can change that.

  • Negative quantities, which are a data fault.

  • Overstock, if you give it a level. It is skipped otherwise.

  • Sellable versus on-hand drift. It flags items where the sellable quantity differs from the on-hand quantity by more than 25% by default. This is the one that causes real incidents, because connected systems are usually sent the sellable quantity. When a store shows something greyed out that has stock on the shelf, look here.

  • Uneven spread: one location empty while another has plenty.

  • Stock value at cost (on-hand quantity times cost).

You can limit it to one location by name or ID.

Things to know

  • Which quantity a connected system receives depends on its inventory mapping. Ask the assistant to look at that system's mapping collections to confirm.

  • Discontinued products. If you've mapped a lifecycle field (see "Field maps"), discontinued products are left out of every alert list. They are still included in stock value, because the stock is still on your shelf.

  • Replenishment needs a field map. Only on-hand quantity, sellable quantity and cost exist natively. Committed stock, on-order stock, reorder points, lead times, vendors and last-counted dates aren't fields on the inventory record. If you keep them in custom fields, a field map switches on the matching checks.

  • The result says whether every product was read. A very large catalog can hit the page limit.

Stuck orders

Ask: "Which orders didn't make it to NetSuite?" or "Which orders are stuck, and why?"

What you get

  • Orders that failed to reach where they were going, from the error queue and the transfer log, for order flows only.

  • Grouped by order, naming the system that rejected it and the likely cause: that system rejected it, the connector failed, or iPaaS.com failed to process it.

  • The number of attempts, when it was first seen, and when it will next be retried.

The silent case

Give it a destination system, such as "NetSuite", and it also looks for orders that exist in iPaaS.com but were never linked to that system at all (no external ID). No error reports these, so they are easy to miss. It checks the most recent orders, up to 100.

Things to know

  • The queue retries on its own schedule, so an order listed here may fix itself if the cause was temporary. The report shows the next attempt.

  • An order that a mapping collection's filter excluded finishes "successfully" with nothing delivered. It only shows up in the destination-system check, never as an error.

To investigate and fix an order, follow Investigating a Failed Sync.

Gift card liability

Ask: "How much gift card liability do we have?", "Which gift cards are about to expire?" or "Which balances are dormant?"

What you get

  • For finance: outstanding balances on active cards, and expired cards that still hold a balance.

  • For marketing: dormant balances, meaning a card with a balance and no activity for 180 days by default, and cards expiring within 90 days by default. You can change both.

  • Totals issued, reloaded and redeemed, from each card's activity history.

Check the reconciliation first

The report gives you two figures and compares them: the balance stored on each card, and what each card's own activity history adds up to. They are independent in the data and can disagree. A card can hold real money while its stored balance reads zero.

If the report says the two disagree, don't quote a single liability figure. Have the assistant give you both numbers and the cards that differ, then look at one of those cards.

Things to know

  • Balances are what iPaaS.com holds now. If a sales channel redeems a card without syncing the redemption back, the liability here is overstated until it does (make sure to review any mappings involved to fully understand how this works).

  • Without a mapped currency field, all balances are added as one currency.

  • Where a card was spent lives on each activity, not on the card, so "where are cards redeemed" needs the activity records.

Field maps: filling in what iPaaS.com doesn't have yet

Some values these reports need don't have a native field in iPaaS.com: currency, sales channel, committed stock, reorder settings and the like. Many companies already keep them in custom fields, under names only they know. A field map tells the MCP which custom field holds which value, so the reports can use them. It never guesses. If a value is mapped but empty on a record, the report says so.

What a map changes today

Report

Values you can map

What it unlocks

Sales

Currency, sales channel, store, unit cost

Revenue by currency, by channel and by store, plus margin per order and per product

Inventory

Committed quantity, on-order quantity, reorder point, reorder quantity, lead time, preferred vendor, last counted date, product vendor, product lifecycle

What is holding stock back, replenishment suggestions that don't reorder what is already inbound, stale counts, and leaving discontinued items out of alerts

Gift cards

Currency, where issued, issuing channel

Liability by currency, where cards are sold, and in-store versus online issuance

The full catalog covers 55 values across 10 data types, such as customers, customer companies, payment methods and shipping methods. Sixteen of them change a report today, which are the ones above. The others are saved for tools that don't read them yet. The assistant tells you which is which as it asks.

Setting one up

  1. Ask the assistant to build a suggested map. It reads your real custom field definitions and proposes which field holds which value, with a confidence for each and a list of the values it couldn't match.

  2. Or ask it to walk you through it. It asks one question at a time, proposes candidates from your custom fields, and tells you for each whether your answer changes a report now or is stored for later. It never decides for you.

  3. Save the map. You get a preview first, and nothing is stored until you confirm. It's saved in your iPaaS.com company, so everyone on your team gets the same answers. New answers are merged with what is already saved.

  4. Check it. Ask the assistant to show your saved map and the values still unmapped.

When you run a report, ask the assistant to use your saved field map. It can read the map itself and apply it to the report.

NOTE: Clearing the map removes it for the whole company and can't be undone. The assistant shows you what would be lost first. Saving and clearing are the only changes in this guide.

Prompts to start with

  • "How did we do over the last 30 days, split by week?"

  • "Show me last month's sales with top customers and top products."

  • "Is our stock healthy? Flag anything where sellable and on-hand disagree."

  • "Which orders are stuck, and which never reached NetSuite?"

  • "How much gift card liability do we have, and do the balances reconcile?"

  • "Suggest a field map from our custom fields."

If something doesn't work

  • The numbers don't match my accounting system. Expected. These are current-state views, and only live orders count as sales. Ask the assistant what the report included and left out.

  • The totals look too low. Check whether the result says some pages weren't read. Try a shorter period.

  • A value shows as unknown. A value you've mapped can be empty on a record, and the report says so instead of guessing. Check the field on the record in your system.

  • Revenue adds currencies together. You haven't mapped a currency field. Set up a field map.

  • You get a 401. Your key lacks a permission for the data the report reads. Ask the assistant to check your permissions.

  • The detailed version is slow. It reads each order separately. Lower the number of orders, or skip the details.
