Summary
The Add/Update QuickBooks Online Payment Method TO iPaaS.com mapping collection brings the payment methods defined in QuickBooks Online (for example Visa, Check, Cash or a custom method such as Venmo) into iPaaS.com as payment methods. Its purpose is reference data: once QuickBooks' methods exist in iPaaS.com, subscribers or their MiSP can pick them when they build the payment-method translations that the invoice, payment and sales receipt collections depend on.
A QuickBooks method that is new to iPaaS.com is created with the QuickBooks name, a description naming QuickBooks as its source, and a payment type. A method already linked to an iPaaS.com payment method updates it, but keeps the iPaaS.com name and description, so translations and other integrations that refer to the method by name are not affected. Only the payment type changes, and only to Credit Card when QuickBooks says the method is a credit card.
ID Format
Manual Sync ID: the QuickBooks payment method id, a number such as 5.
External ID saved after sync: the QuickBooks payment method id, for example 5. iPaaS.com keeps it in an external-ID record for this subscription that links the QuickBooks method to its iPaaS.com payment method, so later transfers of the same method update that iPaaS.com method instead of creating another.
Deleted Record Support
Not supported. QuickBooks payment methods cannot be deleted, only made inactive, and inactive methods are skipped by this collection's filter, so making a method inactive in QuickBooks does not change or remove its iPaaS.com payment method.
Mapping Collection Status
Status: Enabled.
Trigger events: the paymentmethod/poll scope (scheduled polling). Intuit webhooks are not offered in this release.
Duplicate or Conflicting Mappings
Add QuickBooks Online Payment Method FROM iPaaS.com creates iPaaS.com payment methods in QuickBooks and updates linked ones. Running both directions is supported: a method iPaaS.com has just written to QuickBooks is not sent straight back on the next poll, and this collection keeps iPaaS.com names, descriptions and non-card payment types when it updates.
iPaaS.com is the source of truth for payment method names and descriptions in this design. iPaaS.com sets a payment method's name only when it is created, so an update cannot rename an existing method.
Collision handling is not needed on this collection, and the default template does not set a Collision Handling Method. Before a QuickBooks method that is not linked yet is transferred, the integration looks for an iPaaS.com payment method with the same name, in any letter case:
Same name: QuickBooks Visa is linked to iPaaS.com Visa or VISA, and the transfer updates that iPaaS.com method instead of creating a duplicate. No error is logged.
No match: a new iPaaS.com payment method is created with the QuickBooks name.
Several matches, or a method linked elsewhere: when more than one iPaaS.com method has the name, or the one that has it is already linked to another QuickBooks method of this subscription, nothing is linked automatically. Subscribers or their MiSP can link the right one once by setting the QuickBooks payment method id (for example 5) as the external ID of that iPaaS.com payment method for this subscription.
Supported Child Collections
None.
System Caveats
QuickBooks Online Caveats
Credit card or not: QuickBooks only records whether a method is a credit card. A new non-card method arrives as Check (QuickBooks Check) or Cash (any other name).
No delete: QuickBooks payment methods can only be made inactive, and inactive methods are skipped.
Rate limits: each poll is one QuickBooks request when nothing has changed. If QuickBooks limits the rate, iPaaS.com holds the transfer and retries it after a minute (see QuickBooks Online Known Limitations).
iPaaS.com Caveats
Names are kept: a linked iPaaS.com payment method keeps its iPaaS.com name, so the QuickBooks and iPaaS.com names can differ (QuickBooks Visa, iPaaS.com VISA). Translations use the QuickBooks name on the QuickBooks side and the iPaaS.com name on the iPaaS.com side.
Whole-record updates: an update TO iPaaS.com replaces the whole payment method. This collection maps every payment method field (Name, Description and PaymentType), and each mapping keeps the existing iPaaS.com value through DestinationValue where QuickBooks has nothing better to offer, so an update clears nothing. Keep all three mappings.
Prerequisite Handling
None. A payment method depends on no other record.
Setup Requirements
iPaaS.com Configuration
Automatic transfers do not start by themselves. In Dashboard / Integration Monitoring / Events, add a polling event for this subscription and the paymentmethod/poll scope, and set it to run every 15 minutes (see Events). No payment methods are transferred until that polling event exists.
Initialization is not supported. The first poll looks back only the number of days in the Initial Poll Days subscription setting (7 when blank), so QuickBooks methods that have not changed recently are not found by it. To bring in all existing methods, transfer each method with Manual Sync, or raise Initial Poll Days before the first poll. That setting applies to the first poll of every collection that has not polled yet, so a large value also makes those first polls look back that far.
QuickBooks Online Configuration
Nothing beyond the connection. QuickBooks' standard methods (Cash, Check, Visa, MasterCard, Discover) differ only in letter case from the iPaaS.com methods the default translation uses (CASH, CHECK, VISA, MASTERCARD, DISCOVER); where those iPaaS.com methods exist, each QuickBooks method is linked to its iPaaS.com method on its first transfer.
Integration Flow
The paymentmethod/poll scope finds the payment methods changed in QuickBooks since the previous poll, active and inactive. Manual Sync starts at the next step with the id you enter.
The integration reads the payment method from QuickBooks.
If the QuickBooks method is not linked yet, the integration links it to the one iPaaS.com payment method with the same name, when there is exactly one (see Duplicate or Conflicting Mappings).
The filter keeps only active methods.
iPaaS.com creates the payment method, or updates the linked one, with the mapped values.
Mappings
Add/Update QuickBooks Online Payment Method TO iPaaS.com
iPaaS.com data type: Payment Method
Mapping Filter
// Active payment methods. return Active == true;
Filter Description. Only QuickBooks payment methods whose Active flag is true pass. Inactive methods are skipped without an error.
Mapping Type | Source Field (QuickBooks Online) | Destination Field (iPaaS.com) | Description |
Dynamic Formula |
| Name | Required. Gives a new iPaaS.com payment method the QuickBooks name, for example Venmo, and keeps the name of an existing one (including one linked by name before the transfer), because translations and other integrations refer to iPaaS.com methods by name. Keep this mapping. |
Dynamic Formula |
| Description | Keeps an existing iPaaS.com description; a new method gets QuickBooks payment method followed by the QuickBooks name, for example QuickBooks payment method Venmo. Optional, but keep this mapping: removing it clears the description on every update. |
Dynamic Formula |
| PaymentType | Required. A QuickBooks credit-card method becomes Credit Card. Otherwise an existing iPaaS.com payment type is kept (an iPaaS.com Ebt method linked to a QuickBooks non-card method stays Ebt); for a new method, QuickBooks Check becomes Check and any other name becomes Cash. Correct the type in iPaaS.com after a new non-card method arrives if it is a gift card, debit card or EBT method; later updates keep the corrected type. |
Each formula also carries a one-line comment, shown in the iPaaS.com mapping editor.
Payment Method Translation Values
The QuickBooks names this collection brings in are the values on the QuickBooks side of the translation QuickBooks Online Payment Method TO iPaaS.com, used by Add QuickBooks Online Payment TO iPaaS.com. The translation ships with these rows:
QuickBooks payment method | iPaaS.com payment method |
Visa | VISA |
Check | CHECK |
Cash | CASH |
American Express | AMEX |
MasterCard | MASTERCARD |
Discover | DISCOVER |
Diners Club | CRCARD |
None | Other |
Add a row for every other method your QuickBooks company uses on payments (for example Venmo), pointing at an iPaaS.com payment method that exists. None is what a QuickBooks payment entered without a method arrives as.
Error Handling
This collection raises no error of its own: inactive methods are skipped, and linking by name never fails a transfer. Errors appear in Dashboard / Integration Monitoring / Error Logs, and iPaaS.com retries an errored transfer automatically on a growing schedule.
QBOL-EXTN-1013: QuickBooks limited the request rate; iPaaS.com retries after a minute.
BIZL-1007 - Payment Method (Id: ...) already exists. (from iPaaS.com): the QuickBooks method could not be linked (several iPaaS.com methods have its name in some letter case, or the one that has it is linked to another QuickBooks method), and iPaaS.com refused a new method with the same name. Link the right method by hand (see Duplicate or Conflicting Mappings).
Connection errors (QBOL-AUTH codes) are covered in QuickBooks Online Error Messages.
Testing & Validation
Create a payment method in QuickBooks (for example Venmo) and transfer it with Manual Sync, or wait for the next poll. Confirm iPaaS.com has a payment method Venmo, type Cash, description QuickBooks payment method Venmo.
Transfer QuickBooks Visa where iPaaS.com already has VISA. Confirm no new method is created, the iPaaS.com method keeps the name VISA, and its type is Credit Card.
Change the new method's type in iPaaS.com to Ebt, edit the method in QuickBooks, and transfer it again. Confirm the type stays Ebt.
Make a QuickBooks method inactive and transfer it. Confirm the iPaaS.com method is unchanged.
Additional Notes
Out of scope: deleting payment methods (QuickBooks has no delete); changing an iPaaS.com method's name from QuickBooks.
Known limitations: several iPaaS.com methods with the same name are not linked automatically; new non-card methods arrive as Cash or Check. See QuickBooks Online Known Limitations.
